DealSort Privacy Policy

1. Overview
DealSort is a locally-installed Windows application. Your deal documents are processed and stored on your computer. We do not store, transmit, or have access to your deal documents.
2. What stays on your computer
- All scanned PDF documents
- All filed deal jacket documents
- Your folder structure and filing history
- Your audit log
- Your configuration and profiles
3. What leaves your computer
- Extracted text from non-sensitive documents is sent to our AI classification server for document identification. This text is processed in real time and is not stored by DealSort.
- Sensitive documents (such as credit applications) marked with the sensitive flag are never sent to any external service.
- License validation data (your license key and an anonymous device identifier) is sent to our licensing server to verify your subscription.
- Anonymous usage telemetry (document type, confidence score, correction events) may be sent if you have enabled telemetry in Settings. No document content is included in telemetry.
4. Third-party services
- Anthropic Claude API: extracted document text is sent to Anthropic's API for classification. Anthropic does not train on API data by default. See anthropic.com/privacy for their policy.
- Railway: our licensing and classification server is hosted on Railway. See railway.app/legal/privacy.
- AWS: dealsort.app is hosted on Amazon Web Services.
5. GLBA Safeguards Rule
DealSort is designed to support dealership compliance with the GLBA Safeguards Rule. Documents containing nonpublic personal information (NPI) such as credit applications can be configured to never leave your machine using the sensitive document flag.
6. Data retention
DealSort retains no customer document data. License and telemetry data is retained for up to 12 months then deleted.
